Who we share it with

We don't sell your data or share it with third parties for their own marketing. We share it only with the services we need to run the store and fulfil your order:

  • Shopify, which hosts the store;
  • Our payment provider;
  • Our couriers (Royal Mail, APC and DHL);
  • Xero, our accounting software.

We may also disclose information where the law requires it; in connection with legal proceedings; to establish, exercise or defend our legal rights, including fraud prevention and reducing credit risk; or to the buyer or seller (or prospective buyer or seller) of any business or asset we're selling or buying.

International transfers

Shopify may store data outside the UK. Where it does, the transfer is covered by appropriate safeguards: UK adequacy regulations, or the International Data Transfer Agreement (IDTA) or standard contractual clauses.

How long we keep it

Our records are managed by automated processes to comply with UK GDPR. When personal data is no longer needed, it is deleted or anonymised:

  • Order, accounts and tax records are kept for 6 years, as HMRC rules require, then deleted or anonymised.
  • Marketing data is deleted when you withdraw your consent.

Security

Personal data is stored securely and is only accessible to us and the services listed above. Data you send through the site is encrypted in transit.

Cookies

A cookie is a small text file your browser stores when you visit a website. It lets the site recognise your browser on later visits.

We use these types of cookie:

  • Strictly necessary cookies are needed for the site to work, for example to keep items in your basket, keep your connection secure and remember your cookie choices. They don't need your consent and can't be switched off on this site.
  • Performance cookies tell us how the site is used, such as which pages are visited most and whether errors occur. The information is aggregated and anonymous.
  • Functional cookies remember things you've entered, such as your name or location, to make the site easier to use.
  • Marketing cookies help show adverts that are more relevant to you and measure how well campaigns work. Information from them may be shared with advertising partners.

We only set performance, functional and marketing cookies with your consent. You can change your choice at any time, or block cookies in your browser settings, though some parts of the site may not work properly if you do.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict how we use your data;
  • object to our use of your data, including for marketing;
  • receive your data in a portable format;
  • withdraw consent at any time, where we rely on consent.

Some rights are limited where we must keep data by law, such as accounts records. To use any of these rights, email accounts@controlfreq.co.uk.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
